Privacy Policy
Oh Mai Catering ("we", "us") respects your privacy. This policy explains what personal information we collect, why we collect it, and what rights you have under the Protection of Personal Information Act, 2013 (POPIA).
1. Who we are
Oh Mai Catering is a catering business operating from Pretoria and serving Pretoria, Midrand, Johannesburg & surrounding areas.
Questions, requests and complaints about your personal information go first to jin@omai.co.za, on behalf of our Information Officer under section 55 of POPIA.
2. What we collect
We collect only what we need to quote for and deliver a catering service.
When you enquire or request a quote
- Your name, email address and phone number
- Event details: date, times, venue, guest numbers and service level
- Your food, equipment and dietary preferences, and any allergy information you choose to give us. Dietary and allergy details can reveal health or religious information; we use them only to prepare your quote and your event.
- Anything else you choose to tell us in your notes
If you are enquiring on behalf of a business
- Company or trading name
- VAT number and accounts email address, where you provide them
The VAT number and accounts email are optional and are requested only so that we can raise a valid invoice.
Automatically
- Your IP address and basic technical request information, recorded by our web server
- When you open a page with the quote or contact form, technical information about your browser and your IP address, checked by Cloudflare Turnstile to block automated spam

3. Special categories of information
Dietary and allergy information can reveal details about your health or religious beliefs. POPIA treats this as special personal information. We use it for one purpose only — to cook and serve food safely and appropriately at your event — and we share it only with the kitchen and service staff working on that event.
4. Why we process it, and on what basis
- To prepare your quote and perform the catering contract.
- With your consent, given when you submit a form, to contact you about your enquiry.
- To meet legal obligations, such as retaining invoices and tax records.
5. Who we share it with
We do not sell your personal information, and we do not share it with third parties for marketing purposes. We share it only with people who need it to deliver your event — our own staff, and where relevant a venue or a sub-contracted supplier — and with our accountants and regulators where the law requires.
Two service providers process information on our behalf: Microsoft, whose email service delivers your enquiry to us, and Cloudflare, which carries traffic to this website and runs the spam check on our forms.
6. Where it is stored
Enquiries submitted through this website are delivered by email and stored on our web hosting account, located in South Africa. Access is restricted to the business.
7. How long we keep it
We keep personal information only for as long as we need it, and we review what we hold regularly so that information we no longer need is removed:
- Enquiries that do not become a booking are kept only while they are useful for following up with you, which is usually no more than about a year.
- Dietary and allergy information is kept only for planning and delivering your event, and removed when it is no longer needed for that.
- Booking, invoice and payment records are kept for as long as tax and company law require us to — currently up to seven years.
If you ask us to delete your information sooner, we will, unless the law requires us to keep it.
8. Your rights under POPIA
You have the right to:
- ask what personal information we hold about you, and request a copy
- ask us to correct or delete information that is inaccurate, irrelevant or out of date
- object to our processing of your information
- withdraw your consent at any time, without affecting processing already carried out
- lodge a complaint with the Information Regulator

10. Changes to this policy
